Know Your Numbers

Revenue, expenses and profit

Many business owners work incredibly hard every day without knowing whether they are actually making money. Understanding what you earn, what you spend and what you keep is the starting point for every sound business decision.

A business can look busy and still be losing money. The only way to know is to look at your numbers consistently — even just once a week.

Key Concepts

Revenue

All money received from customers for goods or services sold. Also called sales or turnover. Revenue alone tells you nothing about whether the business is making money.

Expenses

Every cost required to run the business: rent, supplies, transport, wages, phone and utilities. Subtract expenses from revenue to find your profit.

Gross profit

Revenue minus the direct cost of what you sell — your ingredients, materials or stock. This shows how much the core trading activity earns before overheads.

Net profit

What the business actually earned after every cost is paid. Net Profit = Revenue minus All Expenses. This is your real measure of business performance.

Break-even point

The sales level where revenue exactly covers all costs. No profit, no loss. Knowing this tells you the minimum your business must earn each week to survive.

Practical Tip

Start with a notebook — two columns, money in and money out. Record every transaction every day. Consistency matters more than the tool you use.
